👀 Follow-up
Presentation
The "Follow-up" functionality allows users to follow the progress of the achievements (overall, by category and/or by sub-category) of the action linked to a Process.
Thanks to the follow-up module, it is indeed possible for the administrator to present a synthesis articulated around the achievements decided at Process or withinassembly. Administrators thus create Achievements that they can categorize and link to proposals or investment projects (e.g. within the framework of a participatory budget). The Achievements are tracked in depth, a history of changes is saved, and completion percentages and milestones indicate their progress. Achievements, projects and statuses can be entered manually via the administration area or imported via a CSV file.
To configure the Follow-up functionality, go to the "Features" sub-menu of the participative space in which you want to add this module, click on "Add a feature" and select "Follow-up" to open the module configuration menu :
The following fields must be filled in:Â
- Feature Title: You can choose to keep the name "Tracking" or change it. It will then appear in the feature menu with the name configured here. For example, the name assigned to it in the case below is "Achievements" :Â
- Display Rank: This is the order in which this feature will be displayed among those enabled for the process. The presentation page has the rank 0, on the image above the "Achievements" module therefore has the rank 1.Â
- Global parameters :Â
- Check the "Enable comment module" checkbox if you want users to have the ability to comment on Achievements.Â
- You can change the names of the different feature names by filling in the following fields:
- Name for "Categories" :
- Name for "Subcategories"Â
- Name for "Achievements" (First Level Achievement)
- Name for "Projects" (Second Level Achievement)
- Check the "Show Progress" box to make the progress of the Achievements visible.
- Default step settings: For each step, check "Block the creation of new comments" if you feel it is necessary. No comments will be posted for steps where you have checked this box. In a assembly space, if you check this box, users will not be able to create new comments even if you have checked "Activate the comment module" in the global settings.
Finally, click on "Add a Feature".
You can now create Achievements :
- New realization: allows the creation of a new realization and access to the data entry form.Â
- Statuses: gives access to the list of the different statuses set up and to the creation of new statuses of realizations.
- Export: allows you to export the achievements in CSV, JSON and excel format.Â
Statutes
You can define several statuses for your achievements, which will make it easier to report on their progress.Â
The key will not be visible to users, it is only a technical identifier, you can insert the value you want. The name as well as the description will be visible below the realization (see below). The name and the description correspond respectively to the status and the description on the user space. The "Progress" field allows you to associate a percentage of achievement to the created status. When you create an achievement, by associating a status to it, the progress field will then be automatically filled with the previously set progress.Â
The progress is reflected on the user space by a gauge that can be seen above on the right of the image.Â
/Warning, if a percentage or status is not entered, it will automatically be set to 0% and thus lower the average total progress.
You finally have the possibility to perform two kinds of actions on the created statuses: modify them ("Pencil" icon) or delete them.Â
Managing Achievements
- To view an existing realization, click on the "Eye" icon in the right column.
- To create subprojects within a project, click on the "New project" icon. Indeed, the Follow-up functionality allows you not only to create achievements, but also to include in them "sub achievements", then "sub-sub achievements", as for Russian dolls (for more information, see below).Â
- To document the evolution of the project, click on the "Project Evolution" icon. A window will appear showing the steps already in progress if they have been created. To add a new step in the timeline, click on [New step].
- To edit your creation, click on the "Pencil" icon.Â
- To delete your creation, click on the "Delete" icon.Â
Create an achievement
To create a realization, click on "New realization".Â
You can then configure the title (required), the description, and if applicable, the larger realization in which it is located in the "Parent" field (see below for more information). You can also enter a start and end date for the project execution. In the Status field, you can enter your various progress statuses previously configured as described above. If you do not want to associate the achievement with a status, you can still enter a percentage of completion for the achievement. You can also associate your achievements with categories, or with proposals and projects that inspired them.
Proposals and projects included
The fields "Proposals included" and "Project included" allow you to associate the contributions that inspired the realization. Click on "Add a proposal" to reach the following window:Â
Here you can link your achievement to the proposal(s) that inspired it. In the same way, you can link your achievement to a project from a participatory budget, by selecting the desired project in the "Included projects" field.Â
In the administrator area, the user can view the proposals included on the project form:Â
Parent achievements
Achievements can be converted into projects by assigning them a parent achievement. The Tracking feature allows you not only to create realizations, but also to include in them "sub-realizations", then "sub-sub-realizations", like for Russian dolls! This can help clarify the progress of projects for users.
This nesting of achievements can be set up in several places on the platform, as we have seen above.Â
On the one hand, when creating a realization, by selecting a parent realization in the "Parent" field, and on the other hand by clicking on the "New realization" icon available on the Achievements management page. The achievements then created will be automatically set as sub-achievements of the selected achievement. You will be able to remove the link between a parent realization and a sub-realization at any time by modifying your realization thanks to the "Pencil" icon.Â
