👯♀️ Represent a user
The "Represented User" function allows you to contribute on the platform on behalf of a person, either who already has an account or who does not yet have an account.
⚠️ This option does not appear by default: you must ask us to configure it beforehand.
To access the dashboard of represented users, go to the "Users" > "Represented users" menu and click on "Represent a new user".
You see a list of all users already registered on the distribution center (status: "Not represented") and all represented users created, if any (status: "Represented").
- Represent an unregistered user :
This function is particularly useful when you collect proposals in person and want to add them to a live participatory space when the participants do not have the computer tools to create and validate their account (example: during a public meeting, on a stand or at a micro-trottle).
To create a represented user, click on "Represent a new user".
A form is displayed with the following fields:
- Name: name of the user that he can change later if he validates his account.
- Unique number: this can be the number of a form, its ID, etc. It is essential to note outside the platform which unique number is associated with each represented user if you want to be able to represent this user again later (explanation below).
Once the represented user has been created, you can directly access his or her session, which remains open for 30 minutes. A banner at the top of the window indicates that you are acting as user X.
When submitting a proposal, there is no indication that the author of a proposal is a represented user. Since the represented user does not have a registered email address, the represented user does not receive notification when another user follows/comments on his proposal and it is impossible to create a conversation with a represented user.
When you are finished, you must "Log Off" (top button in the banner). You will return to the menu of represented users.
You can re-represent an already created represented user. To do this, click on the "Door" icon on the right and enter the user's unique number. If the name and the unique number do not match, you will not be able to represent the user.
It is also possible to promote a user represented as a standard user - i.e. he will have a normal account on the platform. To do so, click on the "Flag" icon. You must then fill in his/her email (don't forget to ask him/her in your forms or when he/she is in front of you! ).
He will receive an email with a link inviting him to create an account. Once his account is created, the user's status will change to "Not represented" (i.e. he will have become a standard user).
Finally, you can access the login history by user by clicking on the "Clock" icon on the right.
- Represent an already registered user :
Decidim also offers the possibility for an administrator to represent a user already registered on the platform.
You must provide a reason for the use of the identity and a unique number.
The operation then remains the same as for a represented user.
