Set up a private participation space (assembly or Process)

A private participation space makes it possible to organize one or more participatory approaches, and to restrict access to a guest list. Indeed, only users previously invited by the platform administrator will be able to access and participate in a private Process . It will be invisible for other users of the platform. To set up a private space of Process , simply check the "private space" box in the "Visibility" section of the "Information" tab, then click on "update".

Once this is done, your Process space will no longer be visible to other users. It is then necessary to invite "private users" so that they can access the private Process . 

⚠️ As an administrator you have read access to the space. If as administrator you want to participate yourself, add yourself as a private user.

Invite a user and allow him/her to access your private area

To do so, go to the "private users" tab and click on "new user of the participative space" in order to invite a user. 

Then fill in the name of the user to be invited, then his or her email address. Then click on "Create". The user will then receive an invitation by email allowing him to complete his account and access the private area of Process .  

If the user already had an account on the platform, he will not receive an invitation by email but will be able to access the private area directly from the platform. 

Once this has been done, the private area of Process will be visible to the invited user, and he or she will then be able to participate. 

Invite a list of users and allow them to access your private Process space

You can import a list of users in order to allow access to your private Process space to several users at the same time. This method saves time when you need to give access to your Process to a large number of users.

To do this, go to the "private users" tab and click on "import via CSV". 

Then import your user file, in .csv format. To be taken into account by the platform, your user file must contain two columns: a first column including the emails; a second one including the corresponding user names. 

Once your file is imported, click on "Upload". The users appearing on the file will then receive an invitation email allowing them to complete their account and access the private area of Process .
